Policies.
Booking/Cancellation Policies:
Appointments must be made online using the online scheduling platform, over the phone, via email, or in-person following a session. This is so the necessary information to book a session can be gathered.
It is the client’s responsibility to arrive at their scheduled appointment time early, as the session will start on the appointed time. If the client is late, their service time will not be extended. The therapist will do their best to accommodate them in the remaining time.
If a client is more than 15 minutes late and has not given the therapist any notice as to their late arrival, they will then be considered a “no-show” and will be subject to the late cancellation fees.
Minors (under 18) must have written permission from a legal parent or guardian to receive massage. This will come in the form of a liability/release form that the parent or guardian will fill out prior to the first session. Please be prepared to come to the first session with your minor to fill out said releases. This form will be provided in-office.
Clients under 16 must have a legal parent or guardian present during the massage for the entirety of the session, along with a completed liability/release form.
Currently, a credit or debit card is not required to hold your reservation. You will still be responsible for the entire price of your service at the time of your service.
Cancellations must be requested with more than 24-hours before the time of appointment. If less than 24 hours is provided, 50% of the cost of service will be charged. If the client no-shows, the full price of the service will be charged. These fees must be paid before the appointment will be rescheduled. A statement will be sent to the email on file for all fees. Clients will be fired if they refuse to pay these fees.
Currently, cancellations made with less than 2 hours before session or no-shows fall into a “three strikes” policy: Three of these sort of cancellations/no-shows without communication with the therapist will mean the client will be unable to schedule future appointments. Illness/emergencies fall under the following policy.
Similarly, the therapist reserves the right to prevent online booking for clients who habitually cancel and reschedule online, and will have to schedule directly with the therapist.
If a client must cancel due to illness or an emergency, these cancellations will be dealt with on a case-by-case basis. The cancellation fees may still apply.
If the therapist must cancel an appointment, the client will be able to reschedule at no cost.
Payment Policies:
Currently, payment in the form of cash or a transfer through Venmo or PayPal can be accepted, either at time of service or in advance. A credit or debit card can be used through PayPal either in advance or at time of service to Songbird Bodyworks. Links for payment will be available on the booking page if you do choose to pay in advance.
QR Codes will be available in office for easy payment at time of service.
Unfortunately, Insurance will not be accepted as a form of payment. If a client so chooses, a superbill can be provided to request reimbursement from their insurance provider. Payment will still be required at time of service in this case.
If a client is seeking to pay with an HSA card/account, please contact the therapist in advance so payment can be arranged on a case-by-case basis.
Payment will not be accepted following the time of service (i.e. day(s) later). If an invoice is needed, it will be sent the same day as the session was scheduled. Failure to pay will result in the inability to reschedule until all fees are paid. Fees left unpaid after 90 days will be sent to collections.
Gift certificates and packages are available as forms of pre-payment. No refunds or returns are available for these payment options, but are transferrable to other individuals. Please treat gift certificates as cash, as they are a form of payment for a service.
Conduct Policies:
It is out-of-scope for a licensed massage therapist to diagnose or prescribe. Please seek a doctor or physician referral. Massage is not a substitute for standard medical care. Clients may come to an LMT with a pre-diagnosed condition to seek treatment. A referral or doctor’s clearance may be requested.
Any form of solicitation or sexual advancements or harassment will lead to an immediate termination of service. Said client will be immediately fired as a client. Depending on client’s actions, proper authorities may be contacted.
Clients have the right to end a massage session for any reason at any time, or to express that they would not like an area worked at any time. The client also has the right to freely express any changes that they would like during their massage (i.e. adjustments in pressure, work in a specific area, change in music/volume, etc.)
In accordance with state mandates, masks are no longer required during your session. You are still more than welcome to wear one if you prefer, and masks will continue to be available in office upon request.
